1. Acceptance of Booking

Your booking will be confirmed based on the terms outlined herein. The services provided will correspond to those detailed in your booking confirmation invoice. References to “you” and “your” encompass the primary individual named on the booking as well as all persons for whom the booking is made or any additional individuals to whom the booking is transferred. The term ”we” “us” and “our” refers to the Satchit Voyage Tours(registered name Satchit Voyage Tours Pvt Ltd)

Your details :You must provide a list of travellers’ details including full name as per passport, passport number and expiration date, nationality, DOB, gender, rooming requirements, dietary requirements, medical concerns at least 36 days prior to departure of the trip.

Our contract : If you are making a booking on behalf of a group, you must ensure each traveller has read and agrees to our Booking Conditions before making the booking. A contract will exist when we accept your deposit.

2. Privacy Policy

Any personal information collected will be managed in accordance with our Privacy Policy. It is your responsibility to periodically review this policy and stay informed of any changes.

3. Deposit Requirement

To secure your booking, a non-refundable deposit is required. This deposit will amount to 20% of the total invoiced value.For bookings made within 36 days of departure, full payment is required at the time of booking. Deposit amounts may vary for selected trips and special promotions as detailed in the Special Conditions.

4. Acceptance of Booking and Final Payments

Upon acceptance of your booking, a confirmation invoice will be issued, establishing a contract between you and us. If you book within 36 days of departure, this contract is formed upon acceptance of your payment. Refer to your booking confirmation invoice for details regarding final payments, including payment methods. The balance is due 36 days prior to departure, unless otherwise stated in the Special Conditions. Failure to pay the balance by the due date may result in your booking being treated as canceled, with applicable cancellation charges as outlined in Section 6 (Cancellation by You).

5. Your Details

To confirm your travel arrangements, all requested details must be provided along with the balance payment. Required details may include full name as per passport, date of birth, nationality, passport number, and any pre-existing medical conditions that may affect your ability to travel. For certain demanding trips, a Self-Assessment form may also be required. Further information regarding your personal data is available in our Privacy Policy.

6. Cancellation by You

Cancellations made more than 36 days prior to the commencement of the tour are eligible for a refund, subject to deductions for bank charges, administrative fees, and any applicable exchange rate costs. We will retain your payment as a credit until this timeframe. Cancellations occurring within 36 days of the tour’s commencement are non-refundable. However, we will make every effort to recover and refund any amounts from our service providers, although this is not guaranteed, and any applicable bank charges, administrative fees, and exchange rate costs will be deducted.

7. Cancellation by Us

Our trips are guaranteed to depart with at least one fully paid customer, unless otherwise stated regarding minimum group size. If we cancel your trip, you may transfer amounts paid to an alternate departure date or receive a refund, except in cases of Force Majeure Events (as defined in Section 8)

8. Cancellations Due to Force Majeure

In addition to the aforementioned cancellation rights, Satchit Voyage Tours retain the option to cancel your confirmed holiday in the event of a Force Majeure, transpiring at your holiday destination or its immediate vicinity, significantly impacting the holiday’s execution or transport arrangements to the destination. Under such circumstances, you are entitled to obtaining a refund minus any irrecoverable expenses. Should the cancellation due to a Force Majeure Event occur after the commencement of your trip, you can select from a pro-rata: a refund minus unrecoverable costs for the remaining trip days. A “Force Majeure Event” encompasses various occurrences such as, but not limited to: acts of God; war; civil unrest; riot; blockade or embargo; fire; explosion; mechanical breakdown; labor disputes; earthquake; epidemic, pandemic, or other health emergencies; flood; severe weather conditions; disruptions in supply chains; implementation of laws, orders, regulations, or requirements by government authorities; or any other act beyond the reasonable control of the parties, posing risks or rendering a trip impracticable. In the event of a cancellation,

neither party can claim damages against the other, and we disclaim responsibility for any incidental expenses resulting from your booking, including, but not limited to, visa fees, vaccinations, travel insurance excess, or non- refundable flight costs.

9. Booking Amendments

All rates are per person, based on indicated numbers travelling together as one movement. Any changes to the group size at any time will require the trip to be repriced. By making your payment, you are agreeing to the most recent itinerary and price quote. All revisions will be subject to re- quote and additional approval. Any changes to the itinerary made by you AFTER services have been confirmed will require a revised quote and may be subject to an additional charge (as levied by hotels, ground operators or airlines).

10.  Change of Itinerary

Flexibility is paramount in travel, as itineraries may be subject to change without prior notice due to local conditions. Nevertheless, we strive to ensure that the impact of such changes remains minimal by substituting any omitted category with a comparable option.

We reserve the right to make the following adjustments without your prior consent:

1. If the specified accommodation is unavailable or if there is an official reason to forgo the booking, we will replace it with accommodation of similar quality.
2. If the designated group Leader, driver, guide, or any staff member is unavailable or requires replacement, we will provide an individual with equivalent qualifications and expertise.
3. If required, Vehicle changes will be made with reasonably comparable

All changes will be communicated to you for your reference.

11. Inclusions

The trip’s land price includes accommodations, transport, sightseeing, activities, meals, and the services of a group leader as described in the Essential Trip Information.

12.  Exclusions

The land price excludes international or internal flights (unless specified), airport transfers, taxes, excess baggage fees, meals not specified, visa and passport fees, travel insurance, optional activities, and personal expenses.

13.  Responsibility

We accept liability solely for incidents that directly result from our proven negligence or that of our suppliers concerning arrangements included in your holiday itinerary. This liability applies only when all your holiday accommodations and transfers are organised by us for the entirety of your stay, encompassing cases of illness, injury, or death.

We do not accept liability for the negligence of our suppliers in accommodation-only bookings. In such instances, we act exclusively as a booking agent, and accommodations are selected at your own risk. In scenarios where only part of the holiday itinerary is coordinated by us, we function as a facilitator for all passengers (including you) regarding services provided by various underlying operators, such as hotels, lodges, restaurants, transportation providers, professional guides, air charter services, and activities like boating, rafting, Snorkelling, kayaking, bushwalking, trekking, and climbing. Consequently, all bookings with us are subject to the limitations of liability established by the underlying operators and suppliers involved in your travel arrangements. Satchit Voyage Tours cannot be held accountable for any failure of components in the holiday for which we do not have direct responsibility. This includes difficulties in locating hotels if customers opt for accommodation-only deals and arrange their own transportation.

14.  Breakages and Damages

You will be held accountable for any breakages, losses, or damages incurred by you or any member of your party during your stay at the accommodation. It is your responsibility to rectify the damage or make full payment to the supplier prior to your departure. Furthermore, you agree to indemnify us against any losses, damages, or claims that may arise.

15.  Acceptance of Risk

Participation in trips involves inherent risks. You acknowledge the potential dangers and accept personal responsibility for your decision to travel.

16.  Exclusion of Liability

Satchit Voyage Tours does not guarantee that all information provided is free from errors or omissions; however, we commit to making reasonable efforts to rectify any identified inaccuracies. The opinions expressed are solely our own. While we strive for accuracy, these opinions are inherently subjective to some extent. All recommendations, opinions, and pricing related to properties and/or destinations are intended for guidance only. By using our website, you acknowledge that any reliance on the content, particularly regarding the recommendation of hotels, products, or services, is undertaken at your own risk, including content found in subsequent itinerary documents. Our website may includes links to third-party websites that are not operated by us. These links are provided for your reference and convenience. We do not own or control the content of these external websites and cannot be held responsible for their content or your

interactions with them. We have made every effort to accurately portray and describe each hotel and/or service and to provide the most current information available through our website and other communications. Nonetheless, we cannot be held liable for any discrepancies or differences that may arise between the content on our website (including text and images), any communications sent to you (via email, fax, etc.), and the actual property where you are accommodated or the services provided.

17.     Indemnification

By accessing this website, you acknowledge that Satchit Voyage Tours shall not be held liable for any direct, indirect, or consequential losses or damages arising from your use of this website. This includes, but is not limited to, the information and materials contained herein, your access to external materials via links on this website, any delays or inability to use the website, and the availability and efficacy of the products and services offered.

Furthermore, you agree to defend and indemnify Satchit Voyage Tours, its affiliates, and their respective suppliers, as well as their officers, directors, employees, and agents, against any claims, causes of action, demands, recoveries, losses, damages, fines, penalties, or other expenses of any kind, including reasonable legal and accounting fees. This indemnification applies to claims brought by: (i) you or on your behalf that exceed the aforementioned liability; or (ii) third parties resulting from (a) your breach of this agreement or any referenced documents, (b) your violation of any laws or the rights of a third party, or (c) your use of this website.

18.  Age & Health Requirements

The minimum age for most trips is 15, with travellers under 18 requiring a legal guardian or designated escort.By engaging with our contract you are bound to act as the guardian for any travellers under 18. There is generally no upper age limit, but participants must be physically fit for the trip. You are responsible for obtaining medical advice regarding health requirements prior to travel.

19.  Additional Terms

Additional terms may apply to specific trips, detailed in the Special Conditions. Some trips may require signing a separate waiver or release form. In cases of inconsistency, these Booking Conditions will prevail.

20.  Passport and Visas

You must secure all necessary documentation, including a valid passport and relevant visas, for your travel. Your passport must be valid for at least six months after your last travel date. You are fully responsible for any costs incurred due to missing or incorrect documentation.

21.  Travel Insurance

Travel insurance is highly recommended to cover personal accidents, medical expenses, and emergency repatriation. If you do not provide your insurance details, we will direct you to medical facilities that offer free services; however, these facilities may not meet your needs. Therefore, we strongly advise that you obtain valid travel insurance to cover your medical expenses. Satchit Voyage Tours will not be liable for any medical expenses incurred during the tour, and it is your responsibility to ensure you have adequate medical coverage while traveling with us.

22.        Personal Belongings

You are responsible for your personal belongings and must acknowledge the associated risks. It is imperative that you promptly disclose the presence of any hazardous materials in your possession, and you are prohibited from carrying any illegal items.

Satchit Voyage Tours disclaims any responsibility for losses or damages incurred to your personal belongings. It is your responsibility to ensure their security and to obtain a suitable insurance policy to cover any potential losses or damages.

23.  Authority on Tour

The group leader/Tour Driver/Guide has the final say on matters affecting the safety and well-being of participants. Non-compliance may result in removal from the trip without refund.

24.  Optional Activities

Optional activities/Add ons are not included in the trip price and are subject to separate contracts with the activity providers.

25.  Shopping

Satchit Voyage Tours does not recommend or guarantee the value or quality of any additional products not explicitly listed on the Travel Voucher, regardless of any discussions between clients and Our employees or representatives. Clients are solely responsible for assessing the value of such products, and Blue Lanka has no obligation to intervene in these matters. Satchit Voyage Tours assumes no responsibility for the quality, functionality, guarantees, or warranties of any products purchased during your tour.

26.  Claims & Complaints

Any complaints should be addressed immediately to your group leader or local representative. If unresolved, submit a written complaint within 30 days of your trip’s conclusion.

27.     Severability

Should any term of these Booking Conditions be deemed unenforceable, the remaining terms will continue in effect.

28.  Applicable Law

These Booking Conditions are governed by the laws of Democratic Socialist Republic of Sri Lanka

29.  Assignment and Registered Address

We reserve the right to assign our rights or obligations under these Booking Conditions. Our registered address is 120/5/6, Winrose Garden Aluvihare, Matale, Sri Lanka

30.  Booking Entity

Depending on your location, bookings are made through specific entities acting as agents for Satchit Voyage Tours (Pvt) Ltd

31.  Promotional Terms

Promotions on our website are subject to these Booking Conditions along with specific terms for each promotion. Ensure you read the applicable conditions before booking.
